About the Role

About the Role

The Payroll Specialist is responsible for executing accurate and timely payroll processing across Egis North America’s entities in compliance with company policies and local regulations. This role ensures data integrity, supports reconciliation and reporting activities, and contributes to process standardization and continuous improvement within the Shared Services team. The Payroll Specialist collaborates closely with HR, Finance, and external service providers to deliver a seamless employee payroll experience.

This role is open to candidates located in Toronto, Ottawa, Montreal, Vancouver, Edmonton and Calgary.

Key Responsibilities:

  • Process payroll runs for entities in the U.S. and Canada as assigned by SSC management.
  • Enter, audit, and maintain employee records, timesheets, and pay adjustments in the payroll system.
  • Reconcile payroll data, resolve discrepancies, and ensure accuracy of withholdings and deductions.
  • Prepare and review payroll journal entries and reports for Finance and audit purposes.
  • Run weekly payroll validation reports and perform necessary checks to ensure data accuracy.
  • Maintain strict confidentiality and ensure compliance with internal controls and data protection standards.
  • Respond to employee payroll inquiries with professionalism and accuracy.
  • Prepare year-end reporting, including tax slips and related filings.
  • Work in close collaboration with other Payroll team members to ensure consistency and alignment.
  • Crosstrain on payroll processes to provide support and coverage as needed.
  • Support the Payroll Manager with reconciliations, ad hoc reporting, audits, and process improvement initiatives.
  • Collaborate with various departments on system updates, testing, and process enhancements.
  • Participate in the transition to Oracle Fusion ERP and payroll integrations with ADP.

What do we need from you

  • 3 to 5 years of hands-on payroll processing experience, including multi-entity or multi-company environment. 
  • Demonstrated experience processing U.S. and Canadian payroll end to end.
  • Strong understanding of statutory deductions and remittances (CRA, RQ, IRS, state agencies as applicable).
  • Experience entering, auditing, and maintaining employee data, timesheets, and pay adjustments in a payroll system.
  • Proven ability to reconcile payroll results and investigate discrepancies independently.
  • Experience preparing payroll journal entries and supporting Finance month-end close.
  • High attention to detail with a strong control mindset and respect for confidentiality.
  • Ability to respond to employee payroll inquiries clearly and professionally.
  • Strong Excel skills for reconciliation and validation work.
  • Ability to work effectively in a shared services or centralized payroll model.

Preferred

  • PCP designation completed or in progress.
  • Familiarity with Oracle Fusion, Dayforce, ADP, or integrated HCM/payroll environments.
