We are seeking to recruit a highly motivated person to work as part of our administrative team. You will report to the Operations Manager and provide support to a group of about 30 technical consultants. This is an exciting time at Galson Sciences, full of growth and opportunity. The right candidate will facilitate the smooth running of the office, and enjoy organising people, information, and other resources. You will have great interpersonal skills, attention to detail and accuracy, and a proficiency for multi-tasking.
Our admin support team works collaboratively to ensure a continuous level of support for our Managing Director and consultant staff. Working with and supporting our Operations Manager, your job will vary from day to day as you will be responsible for a wide range of tasks and functions.
Key responsibilities will include:
- First point of contact for clients and visitors, both on the phone and in person; monitoring the shared Office inbox, sending, and receiving emails.
- Procurement – stationery, kitchen stock and cleaning supplies, refreshments for meetings, IT hardware and software.
- Facilities Management – coordinate and organise office maintenance, cleaning and repairs, maintain and manage administrative filing systems and libraries.
- Serving as the company Ethics & Compliance Lead, ensuring company-wide adherence to ethical standards and compliance requirements in line with Egis Group policies and procedures.
- Serving as the IT Support Coordinator, working with internal and external IT Service providers to track and escalate IT tickets, run updates, and coordinate IT projects.
- Scheduling bi-weekly staff meetings/presentations, and assist in organising company events, including internal meetings, team-building activities, and client functions.
- Liaison between GSL and Egis UK Marketing & Communication team to facilitate development of client-facing materials and external communications.
- Supporting the Quality Assurance Manager to ensure that various office activities are in accord with the ISO-9001:2015 standard.
- Assisting consultants as required with tender preparation, project progress reporting and administration.
- Any other duties as may be determined from time to time.
- Excellent interpersonal skills with a confident, pleasant and professional manner
- Experience of working in an office environment or support role
- Strong organisational and planning skills
- Ability and motivation to work on own - self-motivated and driven to complete all tasks undertaken
- Strong IT skills and proficiency in all areas of MS Office
- Excellent time management skills and ability to multi-task and prioritise work
- Attention to detail and problem-solving skills
Salary & Benefits: Salary depends on experience, plus a full range of benefits including pension, life insurance, income protection and private health insurance.
Working Pattern: Monday - Friday up to 40 hours per week, largely office based but with some flexibility available
