About the Role

About the Role:

We are seeking a detail-oriented and commercially astute Intermediate Commercial Coordinator to support the successful delivery of major infrastructure projects across Greater Toronto and Hamilton Area. This role is integral to ensuring strong commercial governance throughout the project lifecycle, from contract initiation through execution and close-out.

This role is ideal for a commercial, business or engineer eager to apply a strong business and technical foundation to the contractual, financial, and strategic aspects to complex projects.

The ideal candidate will bring commercial management knowledge and experience in infrastructure projects, strong coordination skills, and the ability to work closely with Project Managers, Project Controls and technical teams, and external stakeholders.

Key Responsibilities

1. Commercial Tracking & Reporting (Core Accountability)

  • Own and maintain key commercial logs and registers, including:
    • Change/variation logs
    • Contract and subconsultant registers
    • Commercial risk & opportunity logs
    • Deliverables and obligations trackers
  • Lead the preparation and issuance of commercial reports (monthly and ad hoc)
  • Ensure all commercial data is accurate, up to date, and aligned across teams and systems
  • Coordinate inputs from Project Managers, Project Controls, and Finance to produce integrated reporting
  • Track key commercial actions, decisions, and milestones and ensure follow-up

2. Contract Administration & Commercial Correspondence

  • Support the administration of prime contracts and subconsultant agreements across the lifecycle
  • Draft, prepare, and issue formal contractual correspondence, including:
    • Notices (e.g., change, delay, claims-related)
    • Letters, submissions, and responses to clients and stakeholders
    • Requests for information and contractual clarifications
  • Ensure all correspondence is aligned with contractual obligations, timelines, and requirements
  • Maintain comprehensive contract documentation, logs, and communication records

3. Change Management

  • Coordinate the end-to-end tracking and administration of changes, variations, and claims
  • Maintain complete and auditable change documentation in line with contract requirements
  • Consolidate scope, schedule, and commercial inputs from project teams
  • Monitor status, approvals, and deadlines, escalating risks where required

4. Subconsultant Management

  • Coordinate subconsultant onboarding, agreements, invoice evaluation, payments, insurance and documentation
  • Track subconsultant deliverables, obligations, and performance against contract requirements
  • Maintain subconsultant commercial records, changes, and communications
  • Act as coordination point between internal teams and subconsultants

5. Cross-Functional Coordination

  • Act as a central coordination point between:
    • Project Managers
    • Project Controls (cost, schedule, risk)
    • Finance and accounting teams
    • Procurement and external partners
  • Coordinate the collection, validation, and consolidation of commercial and financial inputs
  • Ensure alignment between scope, schedule, risk, and commercial data

6. Financial & Commercial Interface (Non-Ownership)

  • Coordinate with Finance and Project Controls to collect and validate financial inputs (budget, forecast, WIP, etc.)
  • Support preparation of commercial and financial reporting packages
  • Track financial implications of changes and risks (without direct ownership of cost control or invoicing)
  • Ensure consistency and integrity of financial data used in reporting

7. Project Lifecycle Commercial Support

  • Demonstrate understanding of commercial activities across all phases of the project lifecycle.
  • Support adherence to internal governance, procedures, and commercial frameworks

8. Proposal / Pursuit Support (As Required)

  • Provide support to proposals and pursuits on an as-needed basis, including:
    • Coordinating commercial inputs into submissions
    • Supporting development of fee structures or assumptions
    • Assisting with documentation and compliance requirements
  • Coordinate with technical and commercial teams to ensure aligned and complete submission packages

What do we need from you

Education

  • Bachelor’s degree in Engineering, Business, Commerce, Construction Management, or combination of related disciplines.

Experience

  • 5–10 years of experience in commercial management, contract administration, or project coordination/management/control roles
  • Experience working on major infrastructure projects (e.g., transit, transportation, water, energy)
  • Experience in engineering consulting, construction, or project delivery environments

Skills & Competencies

  • Strong understanding of:
    • Contract management and administration principles
    • Change management and claims processes
    • Commercial processes across the project lifecycle
    • Insurance requirements and contractual obligations in infrastructure projects
  • Ability to draft clear, accurate, and contractually sound correspondence
  • Proven ability to own and manage tracking systems and reporting outputs
  • Strong coordination and stakeholder management skills
  • High attention to detail and data integrity
  • Strong analytical and organizational capabilities
  • Proficiency in MS Excel and reporting tools; familiarity with ERP/project systems is an asset
