About the Role

Location: London - Waterloo

5 days per week in the office location

The Studio Receptionist is the first point of contact for our staff and visitors, ensuring a calm, professional and welcoming environment and ensuring that the front of house duties are delivered. This position requires a proactive and detail orientated person, with the ability to deliver key front of house duties whilst maintaining a calm, professional and welcoming environment for our staff and visitors. An additional aspect of the role is providing support to the 10N CEO and team.

Roles and Responsibilities

  • Managing front of house by maintaining a tidy, professional front desk and studio space
  • Serve visitors by greeting, welcoming, and directing them appropriately, ensuring staff and visitors are signing in using the sign in app
  • Answering phone calls, letters, and emails and/or directing these communications to the correct department/staff person
  • Diary management and managing meeting room availability across No12 and No10 Valentine Place.
  • Scheduling, Coordinating and handling deliveries, including daily mail.
  • Recording and maintaining office expenses
  • Making key cards for new starters
  • Assisting Studios’ Coordinator with coordinating internal events, such as studio presentations and visitor badge making for events
  • Managing office inventory such as stationery, refreshments, office supplies and kitchen items, ensuring stock levels are in line with Studio Management policies
  • Perform general administrative tasks
  • Ensure cleanliness of communal spaces and meeting rooms

Other duties

  • Support on special projects such as office moves and lead on seating arrangements
  • Working with the studios’ coordinator to ensure both the opening up (8am) and closing down (6pm) shifts are covered.
  • Work closely with the Facilities Manager, Studios’ Coordinator and Global Head of Governance and Performance to support any other studio related requirements

What do we need from you

Person specification

Essential

  • Professionalism, warmth and strong communication skills;
  • Excellent time management and ability to multi-task effectively;
  • Proactive positive attitude and ability to remain calm in a busy environment;
  • Microsoft Tools/ Share Point knowledge;

Desired

  • Previous experience in receptionist, administrative or front of house role
  • Experience with Oracle procurement - can be trained
