About the Role

We are seeking a highly organized and efficient Executive Secretary to join our dynamic team in Abu Dhabi, United Arab Emirates. The ideal candidate will provide exceptional administrative support to senior executives, ensuring smooth operations and effective communication within our organization.

  • Manage complex calendars, schedule meetings, and coordinate travel arrangements for executives
  • Prepare and edit correspondence, presentations, and reports with a high degree of accuracy
  • Act as a liaison between executives and internal/external stakeholders, maintaining professional communication at all times
  • Handle confidential and sensitive information with the utmost discretion
  • Organize and maintain filing systems, both electronic and physical
  • Coordinate and prepare materials for board meetings, executive committees, and other high-level gatherings
  • Assist in planning and executing corporate events and conferences
  • Manage incoming calls, emails, and visitors, prioritizing and directing them appropriately
  • Provide general administrative support, including document preparation, data entry, and expense reporting
  • Anticipate the needs of executives and proactively offer solutions to potential issues
  • Handle all the documentation for the section

What do we need from you

  • Bachelor's degree in Business Administration, Office Management, or related field
  • Minimum 5 years of experience as an executive secretary or in a similar role within a fast-paced corporate environment
  • Exceptional verbal and written communication skills in English; knowledge of Arabic is a plus
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively
  • Demonstrated ability to handle confidential information with discretion
  • Excellent attention to detail and problem-solving skills
  • Experience in calendar management and travel arrangement
  • In-depth knowledge of business etiquette, protocol, and corporate governance practices
  • Ability to work under pressure and meet tight deadlines
  • Flexibility to occasionally work outside regular business hours when required
  • Certifications in office management or administrative skills are preferred
  • Familiarity with the business culture and practices in the United Arab Emirates is advantageous
