About the Role

The Role:

We are seeking a highly organized and proactive Executive Assistant to support our team of senior executives, including the Canadian CEO. This role is crucial for ensuring the smooth operation of executive activities, managing complex schedules, and providing comprehensive administrative support, primarily virtually as the executives leadership is spread out across Canada.

The ideal candidate will be based in Canada with the ability to work with leaders in Eastern and Mountain time zones.

Key Responsibilities:

Executive Support:

  • Provide high-level administrative support to five senior executives.
  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, and presentations.
  • Conduct research and compile data for various reports and presentations.
  • Act as a liaison between executives and internal/external stakeholders.

Administrative Services:

  •  Handle confidential information with discretion.
  •  Maintain organized filing systems and databases.

Meeting and Event Management:

  • Plan and coordinate executive meetings, including preparing agendas and taking minutes.
  • Organize company events and team-building activities.

Communications:

  • Draft and edit communications on behalf of executives.
  • Assist in the creation of executive presentations and speeches.

What do we need from you

Experience:

  • Proven experience as an Executive Assistant or similar role.
  • Experience supporting C-level executives.
  • Strong background in calendar management and administrative services.
  • Proficiency in Office365, including Outlook, Word, Excel, and PowerPoint.

Skills:

  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Bilingualism in French will be considered an asset.
  • Ability to work independently and handle multiple tasks simultaneously.
  • High level of professionalism and discretion.
  • Strong problem-solving abilities and attention to detail.
