Forming part of the Shared Services team, the role of the Business Support Administrator will be to support the wider finance team with expenses claims, Payroll submissions, invoicing, and reviewing outstanding invoices etc.
The role is office-based in our London office, close to Waterloo and Southwark, Monday to Friday. This is a full-time position that requires excellent organisational skills, strong attention to detail, and the ability to communicate clearly and professionally both by email and phone. Strong IT skills, particularly in MS Excel, are essential.
Core Responsibilities
- Review and verify expense claim submissions to ensure that the information is accurate, complete, and supported by receipts.
- Process expense and subcontractor invoice payments.
- Provide payroll with details of hours worked and overtime to enable accurate monthly payslip production.
- Prepare and submit monthly client invoices for work undertaken.
- Issue client Statements of Account, highlighting overdue invoices and following up directly with clients where payment has not been received.
- Undertake regular reviews of the finance system to ensure data is accurate, up to date, and consistent with supporting records.
- Participate in Finance Review meetings with the Project Management Team to resolve issues affecting invoice submission or payment.
- Provide holiday cover for Business Support colleagues during periods of annual leave.
- Carry out general business support tasks, including collating KPI data, preparing reports, and assisting staff with administrative requirements.
- Must be a self-starter, capable of working remote from management.
- Strong communication skills both written and verbal.
- Proficient in the use of MS Word, MS Outlook and MS Excel including the use of basic formulas (e.g. SUM, multiplication, division) but would be advantageous if familiar with more complication functions (e.g. VLOOKUP, IF, AND).
- Educated to GCSE standard to include English Language and Mathematics Grade 4 or above or Numeracy and Literacy (Level 2)
- HND in a relevant subject, or equivalent
- Ability to gather and analyse data to generate information
- Experience working in a Finance environment, including excellent financial administration skills
- Experience and detailed knowledge of financial software systems (Oracle)
- Demonstrable experience in the use of Microsoft Office, particularly Excel, Teams, and Outlook, including the development of complex Excel spreadsheets •
- Excellent numerical skills
