Egis in the UK has grown incrementally, through acquisition, and through the establishment of branch offices of Egis companies in France. This has resulted in a need to expand our UK focused bidding capability and capacity as we seek to double the revenue of the group over the next 4-years.
This role will play a critical role in preparing compelling, high-quality bids and proposals while ensuring efficient management of bid-related information and documentation. The successful candidate will require strong writing skills, strategic thinking, and the ability to manage data, templates and key bid resources effectively.
This role will directly report to the UK Tender Unit Director, and will provide key support to the UK Business Lines of Transportation, Energy and Sustainable Cities and Consulting & Operations. Working with subject matter experts in the UK (and globally), the candidate will be able to confidently prepare commercially-attractive technical bids and proposals across a wide breadth of disciplines, from transportation to nuclear.
The role will involve excellent exposure to the wider Egis Group, our UK businesses and cross-functional teams and requires the personal credibility to develop successful professional relationships with internal peers and external partners. The right candidate will be a self-starter, and willing to be agile and adaptable to a fast-paced business environment.
Whilst the role will work under the supervision of the UK Tender Unit Director, the individual appointed will need to have a high degree of self-motivation and be confident to work independently but understand when to seek help and support. Whilst the main focus of the role is proposal/bid writing, the role will also encompass knowledge management and supporting commercial reporting activities.
Main responsibilities include:
Bid writing & proposal development
- The ability to research, write, and edit high-quality bid responses, proposals, and tender submissions.
- Ensuring all bid responses align with client requirements, company objectives, and industry best practices.
- Collaborating with subject matter experts (SMEs) and technical teams to gather input and refine content.
- Tailoring proposals to highlight the company's strengths, competitive advantages, and value propositions.
- Proof reading and formatting documents to ensure clarity, consistency, and compliance with bid guidelines.
Information & content management
- Developing and maintaining a bid library of templates, case studies, previous submissions and key company information.
- Ensuring bid content is regularly updated, accurate, and accessible for future use.
- Implementing version control and maintain a structured filing system for bid documentation.
- Tracking bid progress, deadlines, and win/loss outcomes for continuous improvement.
Compliance & quality assurance
- Ensuring all bid submissions comply with client requirements, legal regulations, and industry standards.
- Maintaining accurate records of bids, contracts, and procurement documents for audit and reference purposes.
- Working with teams to improve the efficiency of bid processes and identify areas for refinement.
Stakeholder engagement & coordination
- Liaising with business development and technical teams to ensure seamless bid coordination.
- Gathering feedback from past bids and use insights to improve future submissions.
- Supporting internal teams with knowledge-sharing and training on bid best practices.
- Supporting the TU Director and BD Director in commercial reporting activities as required.
Skills
- Excellent writing & communication skills: Ability to craft persuasive, structured, and engaging bid content.
- Information management & organisation: Experience managing databases, templates, and document repositories.
- Attention to detail: Strong proof reading and editing skills to ensure accuracy and compliance.
- Project & time management: Ability to manage multiple bids, meet deadlines, and prioritise tasks effectively.
- Collaboration & teamwork: Experience working with cross-functional teams and stakeholders.
- Commercial & industry awareness: Understanding of procurement processes, contract requirements, and business development strategies.
- Technical proficiency: Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint), bid management tools, and content management systems.
- Ability to leverage AI tools to increase the efficiency of the bid process.
Educational Background & Experience:
- Proven experience in bid writing, proposal development, or business development. Ideally experience across a range of sectors.
- Knowledge of information management principles and document control systems.
- Experience working in the engineering professional services sector.
- Project management experience.
- Stakeholder engagement experience.
- Degree-level education.
Location:
- London – hybrid working, with 2-3 days per week in the office on average
- Ad-hoc travel to other offices around the UK to meet key stakeholders
