About the Role

Program / Project Management:

  • Assist in the planning, execution, and monitoring of project activities.
  • Coordinate project schedules, resources, and information.
  • Liaise with clients to identify and define project requirements, scope, and objectives.
  • Maintain risk and issue logs and supporting the implementation of mitigation measures.
  • Liaise with contractors, designers, and statutory stakeholders to keep projects moving.
  • Support procurement and contract administration activities.
  • Ensure projects comply with relevant health, safety, quality, and environmental requirements.


Budget Management:

  • Assist in the preparation and management of project budgets.
  • Monitor expenditures and ensure adherence to financial plans.
  • Prepare financial reports and forecasts.


Document Control:

  • Maintain and update project documentation, including plans, reports, and contracts.
  • Ensure all documents are stored and managed according to company policies.
  • Facilitate document reviews and approvals.


Team Coordination:

  • Coordinate and schedule meetings, workshops, and other project-related events.
  • Communicate with team members to ensure alignment on project goals and deliverables.
  • Support the project team by facilitating communication and resolving issues.


Reporting and Communication:

  • Prepare and distribute project updates and status reports.
  • Ensure effective communication with all stakeholders.
  • Support the development of presentations and reports for management.                                       
  • Use ERP to support project controls and reporting.

Testing, Commissioning and Assurance (Desirable):

  • Support the coordination and tracking of testing and commissioning activities across project phases.             
  • Assist in reviewing test plans, test procedures, and test results to ensure alignment with project      requirements.                                                                                                                                     
  • Coordinate with contractors, designers, and stakeholders to support test readiness and issue resolution.       
  • Monitor and report on testing progress, outstanding defects, and close-out activities.   
  • Review testing records, certification documentation, and evidence of compliance.   
  • Contribute to lessons learned and continuous improvement initiatives arising from testing and commissioning activities.

What do we need from you

  • Bachelor’s degree in Project Management, Business Administration, or related field.
  • Proven experience as a Project Coordinator or similar role, ideally in the Rail industry.
  • Strong knowledge of project management methodologies and tools.
  • Excellent organizational and multitasking abilities.
  • Proficiency in MS Office and project management software (e.g., MS Project, Trello).
  • Strong communication and interpersonal skills.
  • Prior experience with ERP (Oracle…) is desirable and will be a strong advantage
