About the Role

We're looking for a detail-oriented and efficient Administration Assistant to join our dynamic team in Dubai, United Arab Emirates. As a key member of our administrative staff, you will provide essential support to ensure seamless office operations and contribute meaningfully to our organization's success. This role offers an excellent opportunity to develop your administrative expertise while working collaboratively with diverse teams in a fast-paced, professional environment.

  • Manage and maintain office schedules, including appointments, meetings, and travel arrangements with precision and flexibility to accommodate changing priorities
  • Handle incoming phone calls, emails, and correspondence, directing them to appropriate team members in a professional and courteous manner
  • Prepare, edit, and organize various documents, reports, and presentations using Microsoft Office Suite with exceptional attention to detail
  • Assist with basic accounting and bookkeeping tasks, including processing invoices, expense reports, and financial documentation while maintaining accuracy
  • Organize and maintain both physical and digital filing systems to ensure easy retrieval of information and support organizational efficiency
  • Coordinate office supplies inventory, analyze usage patterns, and place orders as needed to maintain optimal stock levels
  • Assist in planning, organizing, and executing company events, meetings, and special initiatives with a collaborative and proactive approach
  • Provide comprehensive administrative support to various departments, adapting to changing priorities and organizational needs with flexibility and resilience
  • Greet and assist visitors with warmth and professionalism, ensuring a welcoming office environment that reflects our organization's values
  • Perform general office maintenance tasks and troubleshoot basic office equipment issues to minimize operational disruptions
  • Support the team in achieving departmental goals through proactive problem-solving, analytical thinking, and collaborative teamwork
  • Maintain confidentiality and handle sensitive information with discretion and transparency

What do we need from you

  • Must be a UAE National (mandatory requirement)
  • 1-3 years of proven experience in an administrative or office support role
  • Strong organizational and time management skills with the ability to prioritize multiple tasks effectively
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and general computer literacy
  • Excellent verbal and written communication skills in both English and Arabic
  • Exceptional attention to detail and ability to maintain accuracy in a fast-paced environment
  • Basic accounting and bookkeeping knowledge with familiarity with financial documentation
  • Proficiency in office equipment operation and maintenance
  • Strong interpersonal and collaborative skills with the ability to work effectively with diverse teams
  • Problem-solving abilities and a proactive approach to identifying solutions
  • Professional demeanor, reliability, and punctuality
  • Knowledge of UAE business practices, culture, and professional etiquette
  • Customer service orientation with a focus on supporting internal and external stakeholders

  • Bachelor's degree in Business Administration, Office Management, or a related field (preferred)
  • Familiarity with office management software and digital communication tools (preferred)
  • Experience with event coordination and meeting organization (preferred)
